A good SEO client report answers three questions: what happened to organic traffic and leads, why it happened, and what you do next. The template below has 8 sections, each with its data source and a check to run before you send. Use it as it is, or copy the CSV into your own sheet.

What should an SEO report for a client include?

An SEO report for a client should include a short summary, organic traffic, search visibility, conversions from organic search, the pages and queries that moved, the work you did, technical health and the next actions. Put the summary first, because most clients read only that part. Everything else is the proof behind it.

How often should an agency send an SEO report?

Most agencies send reports monthly. In the AgencyAnalytics 2026 benchmark survey of 494 marketing agency professionals, 69% report monthly and 11% weekly (AgencyAnalytics, Feb to Apr 2026, a software vendor's survey). SEO moves slowly, so a monthly report fits. Our suggestion: send a short note in the weeks when you ship big changes, and keep the full report monthly.

Where do the numbers come from, and who checks them?

An SEO report uses two Google sources. Search Console shows how the site appears in Google Search. GA4 shows what visitors did on the site. They count different things, so they will not match.

Google lists why the two tools differ. Some tools only track users who have JavaScript on. Search Console removes duplicates and bot visits. It reports days in California time, hides rare queries, shows at most 1,000 rows in a table, and its data usually takes 2 to 3 days to appear (Search Console Help). GA4 says data processing can take 24 to 48 hours, and report data may change in that time (Analytics Help).

CheckHow to do it
Finished days onlyEnd the report period at least 3 days ago. Mark newer days as provisional.
Same range everywhereUse the same start and end date in GA4, Search Console and your CRM.
One source per lineWrite the source next to every number. Never put a GA4 sessions number and a Search Console clicks number in one column.
Tracking still worksOpen GA4 and check that organic key events arrived every day of the period. A gap of zeros is a tracking problem, not a result.
Big movesAny change above 20% gets a reason in the report, or the words "reason not known yet" and a test.

At reportfor.agency, code calculates every number, AI drafts the words, an analyst checks every report, and your account manager approves it. GA4 and Search Console are included for every client at no extra cost.

How do you explain flat or falling organic traffic to a client?

Show the facts first, then the cause, then the action. Do not hide the drop and do not guess. A client forgives a drop with a clear plan much more than a drop with no explanation.

  1. Rule out a data problem. Check the date range, the tracking and the GA4 processing delay before you tell the client anything.
  2. Split the drop. Look at impressions and clicks in Search Console. Fewer impressions means fewer people saw the site. The same impressions with fewer clicks means the result got less attractive or lost a better position.
  3. Compare with the same period last year. Many sites are seasonal. A drop against last month can be normal.
  4. Name the cause, or say you do not know yet. "We do not know yet, and this is the test we run this week" is an honest answer.
  5. Give one action with a date. End with what you do next and when the client will see the result.

A short text you can adapt: "Organic sessions were [X] this month, [down/flat] against [last month]. Search Console shows [impressions/clicks] [fell/held], mainly on [page or query group]. The likely reason is [reason]. Next we will [action] by [date] and report the effect in the next report."

What is a white label SEO report?

A white label SEO report is a report that carries your agency's name, logo and colors, even if someone else built it. Your client sees your brand only. reportfor.agency builds client reports under your brand, and your account manager sends them. We do not do the SEO work itself, and we never contact your clients. See our page on white label reporting.

Do not want to build this every month?

We build and check client reports for agencies. Each client gets a live dashboard in Data Studio (formerly Looker Studio), a written report every Monday and a one-page monthly review. The price is $99 per client per month plus a $997 one-time setup, with a minimum of 5 clients. You get your first report within 7 days of access, or your setup fee back. If your client finds a wrong number before we flag it, that client's month is free. The free demo takes one campaign export and returns a sample client report in your browser. Questions about SEO client reports

How long should an SEO client report be?

Keep the part the client reads to one page: the summary, the key numbers and the next actions. Put the detail after it. In the AgencyAnalytics 2026 survey, 84% of agency respondents said clients value clear visual data representation in a report, so use charts for trends and tables for exact values.

Should I include keyword rankings?

Include them if you track them with a rank tracker and the client cares about specific keywords. Search Console average position is an average over many queries, so do not present it as the rank of one keyword. Say which one you show.

Why do GA4 and Search Console show different numbers?

They measure different things. Search Console counts clicks from Google Search to your site. GA4 counts sessions on your site. Google also lists differences in JavaScript tracking, duplicate and bot filtering, time zones and data delay. Show both and name the source of each.

Can I use this template for free?

Yes. Copy the table or download the CSV and use it for your own clients. You do not need to give us your email.

What does a managed SEO reporting service cost?

reportfor.agency costs $99 per client per month plus a $997 one-time setup per agency, with a minimum of 5 clients. You can start with one client for a $199 pilot setup plus $99 for the first month. Cancel any time with 30 days' notice.

Do you do the SEO work as well?

No. We build and run the client reporting. Your team does the SEO. We use read-only access and cannot change anything in your clients' accounts.
